This role supports sales, marketing, and administration functions, with a focus on event and operations coordination. Responsibilities

Marketing Event Coordination
  • Develop plans, manage timelines, and follow up with the sales team.
  • Act as the main contact to coordinate all event activities, such as booking exhibition booth, ordering show services, submitting necessary documents, and handling attendee registration.
  • Work with the marketing team to prepare promotional materials, such as email blasts, event flyers, and product brochures.
  • Manage the logistics of move-in and move-out shipments.
  • Organize the storage and usage of event items.
  • Gather leads files, event photos, and feedback for the marketing team to conduct evaluations.
  • Build a strong working relationship with the corporate marketing team at HQ.
Operations Coordination
  • Maintain and update records in ERP and CRM systems.
  • Support the HR department with employee onboarding, maintaining employee records and recruitment.
  • Assist in HRIS system implementation.
  • Organize files both manually and electronically.
  • Perform general office duties.
  • Assist in property and assets cycle count as needed.
  • Provide backup support for other administrative functions when needed.
  • Assist with organizing company events, meetings, and conferences.
  • Handle incoming calls, emails, and other communications, ensuring timely and professional responses.
  • Assist with document preparation, including reports, presentations, and data entry.
  • Assist with processing invoices, expense reports, and other financial documents. Other operational duties as assigned

Criteria

  • Bachelor’s degree in business or a related field is preferred.
  • A minimum of one year of experience in operations and/or marketing event coordination is highly preferred.
  • Familiarity with administrative and clerical procedures and systems.
  • Proficiency in Microsoft Office Suite, NetSuite and Quickbooks.
  • Experience in project management.
  • Excellent analytical and problem-solving abilities.
  • Capable of working independently with minimal supervision.
  • Strong organizational and multitasking abilities.
  • Strong verbal and written communication skills.
  • A dedicated and detail-oriented personality.
  • Attention to detail and a high level of accuracy in work.
  • Fluent in Mandarin is preferred but not required.

Working Condition

  • Work on site in Irvine, CA
  • 8-hour shift Monday through Friday
